Rwanda-owned test service

Privacy and data use

This page says what the service collects, what it is used for and how long it is kept. It describes what the system does today, and names the questions that are still for the health authority to answer.

If you are a traveller

The traveller health declaration asks for your name, sex, date of birth, nationality, phone number, e-mail address if you give one, your travel document type and number, your home address and where you will stay in Rwanda, an emergency contact, your journey, the people travelling with you, how you feel and what you may have been exposed to.

Your answers are used for health screening at the point of entry and, if needed, to contact you. They are checked for possible health risks, and a health officer may follow up with you. The officer at the desk sees your answers when your health pass is scanned.

Your travel document number is not stored as you typed it: the service keeps its last four characters and a scrambled form that cannot be read back. The unfinished form is held in your browser tab only and is removed when you send it or close the tab.

How long a traveller's declaration is kept

The details that identify you are kept for up to 2 years after your arrival date and are then removed automatically. This is the period you agree to on the last step of the declaration. Figures that do not identify you, such as the date, the point of entry and the result of the health check, are kept for public-health statistics.

If follow-up applies to you, messages are sent by e-mail, or health staff phone you, for up to 21 days. You can stop the messages at any time from the link in each message. Follow-up records are deleted 2 years after the follow-up ends.

Records made by staff

Assigned staff may record names and document identifiers, travel details, screening observations, referrals, alerts and staff actions. The service uses these records for screening and operational review. Access is limited by assigned role and location.

Records on devices

The Android app may keep unsent work on an assigned device during a network interruption. A local save is different from a server-confirmed synchronisation. Do not clear app data while work is awaiting confirmation.

These public pages

The information pages of this site can be read without an account and ask for no personal details. Only the traveller health declaration and the follow-up check-in ask you for information.

Protect information

Staff use only an assigned account and authorised device. Do not share passwords or include traveller or clinical information in an ordinary support message.

Questions this page cannot answer yet

For the screening records that staff make at the desk, the system sets no retention period. No deletion period is promised here. This page also does not yet name the responsible data controller, the legal basis for each use, how backups are treated or who else may receive records. Ask the RBC national administrator at admin@rw-poe.ecsahc.com. Staff: before entering real traveller information on this test service, follow your organisation's approved instructions.

To ask about your own record, or to ask for it to be corrected, write to the RBC national administrator at admin@rw-poe.ecsahc.com, or use the support page. Do not send personal records by ordinary email.
